One invoice list in, one statement per customer out
At month end, finance teams send every customer a statement of account: the invoices still open, their dates, and the balance due. The data already sits in one export from the accounting system, but turning it into a document per customer usually means filtering, copying, and summing by hand.
Mergram does it in one merge. A repeat block lists the rows of each customer, grouping turns each customer into its own PDF, and a Sum field adds up the balance.
36 invoice rows + one statement template = 5 statements, totals included.
Who uses this?
- Accounts receivable teams — Monthly statements of account and overdue reminders
- Wholesalers and suppliers — Per-customer order and delivery statements
- Landlords and property managers — Tenant ledgers with rent, charges, and payments
- Schools and clubs — Fee statements per family or member
- Agencies and freelancers — Client statements of billed hours or projects
How it works
Step 1 — Export your invoices
Use one row per invoice. Rows for the same customer don’t need to be next to each other:
| Customer | Invoice | Date | Due date | Amount | |
|---|---|---|---|---|---|
| Harbour Street Cafe | [email protected] | INV-1042 | 02/09/2026 | 02/10/2026 | €412.00 |
| Harbour Street Cafe | [email protected] | INV-1057 | 09/09/2026 | 09/10/2026 | €268.50 |
| Liffey Bakery | [email protected] | INV-1043 | 03/09/2026 | 03/10/2026 | €1.190,00 |
Step 2 — Add a repeat block
Upload your statement PDF and open the Repeat Block tab. Click Add repeat block, size it over the table area, and set it to one column with as many rows as fit. Drag Invoice, Date, Due date, and Amount into the first slot. Faded copies preview the other rows.
Step 3 — Group by customer
Under One PDF per, choose Customer. The footer shows what you’ll get, for example 5 PDFs and 5 credits. The customer’s name and address outside the block come from their first row.
Exports with the customer only on the first line
Some accounting exports print the customer once and leave the next rows blank. Under More options, set blanks to Join previous row and each blank row joins the customer above it.
Step 4 — Add the balance and page numbers
Under Totals, pick Amount and drag Sum next to “Balance due”. Add Row count for the number of open invoices. A total placed on the block’s page prints once, on the statement’s last page. For “Page 2 of 3”, drag Page number and Page count from Text & page numbers in the Single Block tab.
Step 5 — Merge or email
Preview the first customer’s statement, then merge to download one PDF per customer as a ZIP, or one combined PDF for printing. To send them, use the Send Emails tab: one email per customer, with their statement attached and, through Insert group total, their balance in the subject line.
Good to know
- Billing — One credit per statement, not per invoice row.
- Filenames — Use a filename template like
Statement_[[Customer]]to name each file after the customer. - Number formats — Amounts like
€1.234,50,$1,234.50, and(12.00)are read as numbers. Cells that aren’t numbers are skipped, and the Totals section warns how many there are. - Long statements — Use Continue on to put overflow rows on a plain table page instead of repeating your letterhead.
- Password protection — Lock each statement with its own password, built from a column such as the customer’s account number.
For every setting, see repeat blocks and grouped merge. The same setup makes invoices with line items and price lists per customer.
