Report Card Template for Mail Merge

At the end of every term, teachers have the grades in one spreadsheet and need a report card for each student. This template turns that sheet into one PDF per student: their name and class at the top, every subject with its grade and comment in a table, and the average worked out for you.

Mergram uses a repeat block for the subjects table and grouping to make one document per student, so you never copy grades into separate files by hand.

Field Mapping Guide

  1. Prepare your spreadsheet — One row per student per subject. Repeat the student’s name, class, and parent email on each of their rows.
  2. Add a repeat block — In the Repeat Block tab, click Add repeat block and cover the subjects table. Use one column, with as many rows as there are lines in the table.
  3. Design one row — Drag subject, grade, and comment into the first slot. Faded copies show the other rows.
  4. Group by student — Under One PDF per, choose student_name. The footer shows how many report cards you’ll get.
  5. Add the average — Under Totals, pick grade and drag Average below the table. In its More settings, set the number of decimals.
  6. Preview and merge — Preview the first student’s report, then merge to get one PDF per student.

Tip

Teacher comments vary in length. Select the block, open More settings, and set Height to Grow to fit text so each subject’s row is as tall as its comment.

Frequently asked questions

How do I make one report card per student from one grades sheet?
Use one row per student per subject, with a Student column. Add a repeat block over the subjects table, drag Subject, Grade, and Comment into its first slot, and choose Student under One PDF per in the Repeat Block tab. Each student gets one PDF listing all of their subjects.
Can Mergram calculate the average grade?
Yes. In the Totals section of the Repeat Block tab, choose the grade column and drag an Average field onto the page. It is calculated over all of that student's subjects. Min, Max, Sum, and Row count work the same way.
What if a student's teacher comments are long?
Set the repeat block's height to Grow to fit text. A subject whose comment wraps onto more lines gets a taller row and pushes the next subjects down; rows never split across pages.
Can I email each report to the parents?
Yes. Add a parent email column and use the Send Emails tab. Mergram sends one email per student, to the address in their first row, with their report card attached.
What if some grades are letters, not numbers?
Average, Min, Max, and Sum skip cells that aren't numbers, and the Totals section warns how many it skipped. Letter grades still print in the table as they are.
